Why does it matter where receipts are processed?

One receipt is nothing. Twelve months of receipts is a complete map of a life or a business: every supplier, every subscription, every trip, every pharmacy, the days you were in a particular city, the lawyer you paid in March, the recruitment agency you paid in June. Bookkeeping tools ask for all of it at once, because that is what bookkeeping is.

That is a reasonable thing to hand an accountant you have chosen. It is a different decision to hand it to a software vendor as the price of not typing it in. The extraction itself is text recognition and field matching. There is no technical reason a server has to see the image.

How do you get receipts into a spreadsheet without uploading them?

The job is the same for a photograph and for a PDF, with one extra step for the photograph.

  1. Collect the documents in a folder. Phone photos, scans, and the PDF invoices that arrive by email all go in together.
  2. Read the characters. A PDF from a supplier normally has a text layer already. A photograph does not, so text recognition runs over the image first. macOS includes a strong text recognition engine, so this happens on the machine with nothing downloaded and nothing sent.
  3. Find the fields. Vendor name, document date, total, tax amount, tax rate and currency. The total is the largest amount near a word like total, amount due or balance, checked against the tax and the net so the arithmetic closes.
  4. Write one row per document. A CSV with a column for each field and a column holding the file name, so any row can be traced back to the original image.

Doing it locally has an ordinary practical benefit too. A folder of 200 receipts is processed in one pass, at disk speed, with no per document charge and no upload queue.

What should you check in the output?

No extraction is exact on every receipt, whichever tool produced it. Faded thermal paper, a folded corner and a photograph taken at an angle all cost accuracy. Check these six things before the spreadsheet goes anywhere near a tax return.

  1. The row count against the number of files in the folder. A silently skipped document is the most common failure and the hardest to notice.
  2. Total against tax and net. If net plus tax does not equal the total, one of the three was misread. This single check catches most digit errors.
  3. Dates above the twelfth of the month. That is where a swapped day and month shows up, because 03/04 is ambiguous and 17/04 is not.
  4. The currency column. A dollar sign is used by several countries and a receipt in a foreign currency posted at face value quietly distorts a whole quarter.
  5. Duplicates. The same lunch photographed twice, or an emailed PDF that also got scanned, appears as two rows with the same vendor, date and total.
  6. Tips, service charges and deposits. A tip written on the paper after printing is not in the printed total, and a card deposit is not an expense.

How do you tell whether a receipt scanner uploads the image?

Turn off the Wi-Fi and scan a receipt. If the fields appear, the recognition ran on your Mac. If the app shows a spinner or queues the document for later, the image was going to a server, whatever the privacy page says about encryption. What fields can be pulled from a receipt or invoice?

Is automatic receipt reading accurate enough for bookkeeping?
